Tenure Reduction/Relinquishment Procedures

New applications for TRP ended on December 15, 2025. These instructions are for faculty who already have approved TRP agreements.

Faculty member

  1. Submit a letter of intent to retire to your department head and/or dean. You must retire by the date stipulated in your TRP agreement.
  2. Discuss your TRP assignments with your department head and/or dean.

Department/dean's office

  1. After the faculty member submits their written intent to retire, submit an Employee Separation Request (ESR) to end the faculty member's tenured position.
    • Include any awards or stipends on the ESR. Awards and stipends are not automatically rolled onto the faculty member's final salary. 
    • Discuss and secure approval from the Office of the Provost for any post-retirement salary adjustments.
  2. Submit a PRF in advance of each TRP assignment. Include the course title and number in the PRF notes.
  3. Track the number of TRP assignments faculty member has served.

Human Resources

  1. Once the faculty member's retirement is submitted, HR will generate and submit a PRF to setup the faculty member's TRP position (RP#) in the Payroll system. These positions cannot be set up until the retirement is entered into the job record.
  2. Process PRF from department for the faculty member’s TRP teaching assignment.
  3. Track the number of TRP assignments faculty member has served.
  4. When five TRP appointments are completed or the five year TRP timeline expires, submits ESR to terminate the faculty member's TRP position.
